Managing Contacts
This guide covers how to effectively manage your contact database in Dynaris for lead tracking, outreach campaigns, and relationship management.
Importing contacts
From CSV
The fastest way to populate your contact database:
- Go to the Contacts tab in the data panel
- Click Import
- Upload your CSV file
- Map columns to Dynaris fields (name, email, phone, company, etc.)
- Review the import preview
- Click Import to add the contacts
Dynaris automatically detects common column headers and maps them for you. You can adjust the mapping before importing.
From connected CRM
If you have HubSpot, Salesforce, or another CRM connected, you can sync contacts:
"Import my HubSpot contacts into Dynaris"
The agent pulls contacts from your CRM and adds them to your database, checking for duplicates along the way.
From research
Let your agents build your contact list through research:
"Find the VP of Marketing at the top 50 SaaS companies and add them to my contacts"
The agents use web research and Apollo enrichment to find accurate contact information.
Organizing contacts
Status tracking
Each contact has a status that reflects where they are in your workflow:
- Pending -- New contact, not yet engaged
- In Progress -- Active communication or follow-up underway
- Completed -- Relationship goal achieved (meeting booked, deal closed, etc.)
Update status manually or let agents update it as they interact with contacts.
Tags
Add custom tags to group contacts by any criteria:
- Industry, company size, source
- Campaign name, priority level
- Custom segments for your business
Tags help you filter contacts and run targeted outreach campaigns.
Archiving
Archive contacts that are no longer active. Archived contacts:
- Are hidden from the main contact list
- Can be found through search or the Archived section
- Can be unarchived at any time
- Are not included in bulk operations or campaigns
Searching and filtering
Quick search
Type in the search bar at the top of the Contacts tab to filter by any field -- name, email, company, phone number, or tags.
Agent-powered search
Ask your agents for more sophisticated queries:
"Show me all contacts at companies with more than 100 employees that I have not emailed in the past month"
"Find contacts tagged 'warm lead' who have not responded to the last follow-up"
The contacts agent supports fuzzy matching, so slight misspellings or variations in names still return results.
Running outreach campaigns
Email campaigns
"Send a personalized introduction email to all contacts tagged 'new prospect'"
The Gmail agent drafts individual emails tailored to each contact based on their information and your Knowledge Base.
Multi-channel sequences
"Set up a follow-up sequence for my new leads: email on day 1, SMS on day 3, call on day 7"
The outbound agent creates a coordinated campaign across channels.
Follow-ups
"Follow up with everyone I emailed last week who hasn't responded"
Dynaris checks response status and sends appropriate follow-ups.
Exporting contacts
Export your contacts as a CSV file:
"Export all my contacts to a CSV"
Or export a filtered subset:
"Export contacts tagged 'conference attendee' to a CSV"
The file appears in your Files tab for download.
Best practices
- Import clean data. Remove obvious duplicates and fix formatting before importing.
- Use consistent tags. Establish a tagging convention and stick to it.
- Keep statuses current. Accurate statuses help agents prioritize and filter effectively.
- Enrich regularly. Use Apollo integration to fill in missing details like job titles and company info.
- Archive instead of delete. You might need the data later.
