Workflows
Workflows are the foundation of automation in Dynaris. They allow you to define multi-step processes that run automatically using AI agents, connected tools, and your data.
Instead of performing tasks manually, you can create workflows that execute actions, make decisions, and coordinate across systems without ongoing input.
What a Workflow Is
A workflow is a sequence of actions triggered by an event, a schedule, or a direct request.
Each workflow can include:
- Data retrieval (from Leads, Files, Integrations)
- Decision-making based on conditions
- Actions such as sending messages, creating records, or scheduling meetings
- Follow-ups and chained steps
Workflows allow Dynaris to move from single actions to complete operational processes.
What You Can Automate
Workflows can automate a wide range of business activities:
- Lead qualification and follow-ups
- Email and communication sequences
- Meeting scheduling and reminders
- CRM updates and data synchronization
- Report generation and summaries
- Invoice creation and payment follow-ups
You can combine multiple steps into a single automated flow.
Creating a Workflow
You can create workflows in two main ways.
Using the AI Assistant
Describe what you want in natural language.
Examples:
"When a new lead is added, send a follow-up email and schedule a meeting"
"Every day at 5 PM, summarize today's activity and send it to Slack"
"If a lead doesn't respond in 2 days, send a reminder email"
Dynaris will interpret your request and build the workflow automatically.
Using the Workflow Interface
From the dashboard, you can configure workflows directly.
This allows you to:
- Define triggers
- Add steps and actions
- Connect tools and data sources
- Control execution behavior
Workflow Triggers
Workflows can start in different ways.
Event-Based Triggers
Triggered when something happens:
- New lead created
- Email received
- File updated
- Form submitted
Scheduled Triggers
Triggered at a specific time or interval:
- Daily summaries
- Weekly reports
- Periodic follow-ups
Manual Triggers
Triggered by a direct request:
- Running a workflow from the AI Assistant
- Executing a one-time process
How Workflows Execute
When a workflow runs:
- The trigger activates the workflow
- The Supervisor Agent evaluates the defined steps
- Tasks are assigned to relevant agents
- Actions are executed using your tools and data
- Results are logged and stored
Each workflow runs with full access to your system, including integrations and knowledge.
Multi-Step Execution
Workflows can include multiple connected steps.
Example:
- Capture a new lead
- Save it to CRM
- Send a welcome email
- Schedule a follow-up
- Notify your team
All steps are executed automatically in sequence.
Conditional Logic
Workflows can adapt based on conditions.
Example:
- If a lead responds → schedule a meeting
- If no response → send a follow-up
- If high-value lead → notify a team member
This allows workflows to make decisions instead of following fixed steps.
Working with Data
Workflows can interact with all Dynaris data modules:
- Leads and Contacts
- Calendar and bookings
- Invoices
- Files and documents
- Knowledge Base
They can also use integrations to pull or push data externally.
Integration with Auto Mode
When Auto Mode is enabled:
- Workflows triggered by events run automatically
- No manual approval is required
- Actions are executed in real time
This allows workflows to operate continuously in the background.
Monitoring Workflow Activity
You can track workflow execution through:
- The Events module (for real-time activity)
- Schedule module (for recurring workflows)
- Logs and results generated by agents
This ensures visibility into what is running and what has been completed.
Common Workflow Examples
Lead Follow-Up
New lead → send email → schedule reminder
Daily Summary
End of day → collect activity → send report
Outreach Campaign
Import leads → send messages → track responses
Meeting Workflow
Booking created → send confirmation → create follow-up tasks
Best Practices
- Start with simple workflows and expand gradually
- Use clear and specific instructions
- Test workflows before enabling automation
- Combine triggers, actions, and conditions effectively
- Monitor early executions to refine behavior
How Workflows Fit Into Dynaris
Workflows connect all parts of the platform:
- AI Agents for execution
- Integrations for external actions
- Data modules for input and output
- Auto Mode for continuous operation
They are the layer that turns Dynaris into a complete automation system.
