Bookings Tab (Calendar)

The Calendar tab (also called Bookings) in the right panel shows all your bookings and scheduled events. View your calendar in multiple formats, manage each booking, and track status from request to completion.

What You See

The calendar displays:

  • Confirmed bookings — Appointments that are confirmed and will happen
  • Pending bookings — Awaiting confirmation or approval
  • Team events — Internal meetings and availability blocks
  • Available slots — Time that can still be booked by clients
  • Blocked time — Out-of-office, holidays, personal events

Color coding helps distinguish event types at a glance.

Calendar Views

Switch between views to match your workflow:

Day view — Detailed hourly schedule for one day

Week view — 7-day overview with time slots

Month view — Full month calendar overview

List view — Chronological list of upcoming bookings

Each view can be filtered by:

  • Service type
  • Staff member (if team)
  • Status (confirmed, pending, completed, etc.)

Viewing Booking Details

Click on any booking to see:

  • Client — Name, email, phone
  • Service — What was booked
  • Date and time — When scheduled
  • Duration — How long the appointment is
  • Location — Where (virtual link, address, etc.)
  • Status — Confirmed, completed, no-show, cancelled, rescheduled
  • Payment status — If invoice is paid or pending
  • Notes — Special requests or context
  • Reminders sent — Which communications were delivered
  • Staff assigned — Who is providing the service (if team)

Managing Bookings

From the booking details, you can:

Confirm — Approve a pending booking

Reschedule — Move to a different date/time

Cancel — Cancel the booking

Mark completed — When appointment finishes

Mark no-show — If client didn't attend

Add notes — Capture special requests or follow-ups

Send reminder — Resend confirmation or pre-appointment alert

View client — See full contact details

Create invoice — If payment is needed

Booking Status

Each booking moves through a lifecycle:

Change status:

  1. Click booking
  2. Click "Status" dropdown
  3. Select new status
  4. Add notes if needed
  5. Client is notified of changes

Filtering and Searching

Find bookings quickly:

By status:

  • Pending, confirmed, completed, no-show, cancelled, rescheduled

By service:

  • Which service was booked

By staff:

  • Which team member is assigned (if team)

By date:

  • Today, this week, this month, custom range

By client:

  • Search by name

Reminders

Automatic reminders are sent:

  • Confirmation — Immediately after booking
  • Pre-appointment — 24 hours before (or configured)
  • No-show follow-up — If client doesn't attend
  • Rescheduling — When appointment is moved

Manual reminders:

  1. Click booking
  2. Click Send Reminder
  3. Choose reminder type
  4. Reminder is sent immediately

Synced Calendars

If you've connected Google Calendar or Outlook:

  • Bookings appear on your external calendar
  • New events in external calendar appear here
  • Real-time two-way sync
  • No duplicate events

Team Calendar

If you have multiple team members:

  • Each person's availability is shown
  • Bookings are assigned to specific staff
  • Color-coded by team member
  • Combined availability shown in public portal

Analytics

Quick metrics at the top:

  • Total upcoming — Number of upcoming bookings
  • Confirmed — How many are confirmed
  • Pending — Waiting for confirmation
  • Completed — This month or period
  • No-show rate — Percentage of no-shows

Common Tasks

View this week's schedule

  1. Calendar view opens automatically
  2. Switch to Week view
  3. Scroll through time slots
  4. Click any booking to see details

Confirm a pending booking

  1. Find pending booking on calendar
  2. Click to open details
  3. Click Confirm
  4. Client is notified

Send pre-appointment reminder

  1. Click booking
  2. Click Send Reminder
  3. Choose "Pre-appointment"
  4. Reminder sent immediately

Reschedule a booking

  1. Click booking
  2. Click Reschedule
  3. Select new date and time
  4. Confirm
  5. Client is notified of new time

Mark as no-show

  1. Click booking (on or after appointment time)
  2. Click StatusNo-show
  3. Optionally note reason
  4. No-show is recorded
  5. Follow-up workflow can be triggered

Keyboard Shortcuts

  • Esc — Close booking detail
  • R — Reschedule selected booking
  • C — Confirm selected booking
  • N — New booking (manual)
  • L — Switch to list view
  • W — Switch to week view
  • M — Switch to month view
