Invoices Tab

The Invoices tab in the right panel shows all your invoices at a glance. View, send, track payments, and manage billing for services, bookings, and custom work.

What You See

Each invoice displays:

  • Invoice number — Unique identifier
  • Client name — Who is being billed
  • Amount — Total amount due
  • Due date — When payment is due
  • Status — Draft, sent, paid, partially paid, overdue, cancelled, or void
  • Last action — When invoice was sent, marked paid, etc.

Invoice Actions

From the invoice list, you can:

View — Click an invoice to see full details

Send — Email invoice to client

Download — Save PDF to your computer

Mark paid — Record payment received

Edit — Change details (if not yet sent)

Delete — Remove draft invoices

Filter — By status, client, date range

Invoice Details

Click on any invoice to see:

  • Client information — Contact details
  • Line items — What is being billed with amounts
  • Totals — Subtotal, tax (if applicable), total
  • Payment status — Amount paid and balance due
  • Payment history — All payments received with dates and amounts
  • Due date — When payment is due
  • Notes — Any special terms or context
  • Reminders sent — Which communications were delivered
  • Linked booking — If from a service booking

Creating Invoices

Manually from the Invoices tab:

  1. Click New Invoice
  2. Select client
  3. Add line items
  4. Review totals
  5. Save as draft or send immediately

Automatically from bookings:

When you book a paid service, an invoice is automatically created.

From workflows:

Automate invoice creation and sending based on triggers.

Recording Payments

When a client pays:

  1. Open the invoice
  2. Click Record Payment
  3. Enter amount received and payment method
  4. Save payment

Invoice status updates automatically:

  • Fully paid if total is received
  • Partially paid if amount is less than total
  • Overdue if past due date (automatically)

Sending Invoices

Send now:

  1. Click Send
  2. Confirm email address
  3. Invoice is emailed immediately

Schedule reminder:

  1. Click Send Reminder
  2. Choose reminder type (due date, overdue, payment received, thank you)
  3. Reminder is sent immediately

Filtering and Searching

Find invoices quickly:

By status:

  • Draft, sent, paid, overdue, cancelled, void

By client:

  • Search client name

By date:

  • Specific date range (this month, quarter, year, custom)

By amount:

  • Invoices over/under certain amounts

Invoice Statuses Explained

Common Tasks

Create and send invoice in minutes

  1. Click New Invoice
  2. Select client
  3. Enter line item (e.g., "Consulting: $500")
  4. Click Send
  5. Email is sent immediately

Follow up on unpaid invoice

  1. Find invoice in list (filter by "Overdue")
  2. Click Send Reminder
  3. Choose reminder type (overdue notice)
  4. Reminder is sent

Record payment

  1. Open invoice
  2. Click Record Payment
  3. Enter amount and date
  4. Save
  5. Status updates (paid or partially paid)

Invoice from booking

  1. When service is booked with a price, invoice is created automatically
  2. Invoice appears in Invoices tab
  3. Sent to client email
  4. Click to manage or track payment

Keyboard Shortcuts

  • Esc — Close invoice detail
  • N — New invoice
  • S — Send selected invoice
  • P — Record payment on selected invoice
